Privacy Policy

Abstract

The Versorgungsanstalt des Bundes und der Länder (VBL – Federal State Gartnment Employees Retirement Fund) collects and processes data during every use of the internet service www.vbl.de and every time a file from the service is opened. The data is stored in a log file. The data is only stored for security reasons and will be deleted lateron. It is not given to a third party.

Apart from registration and use of the customer portal My VBL, the VBL collects and uses personal data (e.g. Name, E-Mailaddress) only if the user enters it in a input field or via e-mail in a request to the VBL (e.g. using recall service) or accepting a service or an offer (e.g. Use of online calculator) and sends it to the VBL. Input of the data is optional and voluntary. Your personal data will only be used in order to fulfill your request (e.g. recall).

Acquisition, processing and use of personal data by VBL (Versorgungsanstalt des Bundes und der Länder) is carried out considering data protection regulations, particularly the German Telemedia Act (TMG) and the German Federal Data Protection Act (BDSG). In doing so VBL acts on the principle of minimal use of personal data. The employees of VBL are sworn to secrecy. According to the legal requirements, the VBL took the necessary technical and organizational measures for protecting personal data.

Collection and Use of Personal Data

On visiting a VBL web-page, the data for this action will be stored on a log file. This data cannot be traced to a particular person by VBL. Therefore VBL cannot ascertain which user has accessed which page and content. Basically the following data is stored: client’s IP-address, operating system, browser, time of access, visited pages, access error.

The data stored is exclusively used for data security and customized development of the websites. The IP-address will only be stored for for security reasons (e.g. identification of DOS-attacks) for 7 days. All the data will not be transferred to third parties, neither for commercial nor non-commercial purposes.

All data collected via the website www.vbl.de will solely be processed in the territory of the European Union (EU), the European Economic Area (EEA) and only be used for the purposes described herein.

When using the online calculator, the VBL will additionally store data like name, family name, insurance number etc. As the VBL is only allowed to make offers to current customers, this data is necessary for verification and offer preparation.

When using the recall service, the VBL also collects data like name, family name and insurance number. The recall is only for current customers, that is why this data is necessary for verification and preparing the call.

When subscribing to the VBLnewsletter, the VBL will additionally collect the IP-address of the user in order to identify who made the first subscription. After confirmating the subscription, the IP-address will be deleted in the so-called Double-Opt-In procedure, otherwise after 7 days. The user‘s IP-address will also be stored for security reasons during the subscription.

The user can recommend using some blank forms from our download center to other persons. If doing this, the IP address of the one recommending will also be stored to identify and prevent fraud. The IP-address will also be deleted after 7 days.

On the contact page, the VBL only collects and uses data which you enter and are necessary for verification or preparation of a call. This data is only used for contacting.

Website analysis

The VBL uses the web analysis software Piwik on its website www.vbl.de to find out how its web presence provided is accepted by its visitors.

Piwik creates pseudonymous user profiles and saves pseudonymous attributes about a particular visit on a website via so called cookies (further information in our Cookie Policy) on the terminal device of the visitor.

The objective of the website analysis is to obtain statistical data on how the website www.vbl.de and its subsites are used. For example, Piwik can be used to determine in which  periodwhich parts of the website were accessed by how many visitors, what actions were carried out on which individual sites, how long the visitors remained on the particular site, plus the country from which the website was accessed. A conclusion about the person is not possible.

This information will help the VBL to continuously improve and customize its web presence via the deductions gained from the interests of its website visitors.

The VBL has no interest in identifying the individuals visiting the website or linking the obtained information with a particular person. Piwik only collects statistical data about how visitors interact with the website in general.

To ensure this, the following settings were made within the Piwik web analysis software:
  • The Lifetime of the analysis cookies used by Piwik is limited to 6 months. These will be automatically deleted after that period of time.
  • The IP address of a visitor is shortened in such a manner that an identification of the visitor cannot take place. The last two octets / bytes of the IP address are deleted for this purpose. (e.g. 192.168.XXX.XXX.).
  • Through technical and organizational measures the VBL ensures, that the information collected during the analysis is not linked with other visitor-related data (e.g. data from the log file mentioned above).
  • The web analysis is limited to the website www.vbl.de and its subsites and will not be extended to other websites.

In this case, a Piwik deactivation cookie (piwik_ignore) will be set on your device in order to deactivate the Piwik web analysis on the website www.vbl.de and its subsites. Because of the piwik_ignore cookie, you do not have to deactivate the web analysis again when you revisit the VBL website, unless you have manually deleted the cookies on your terminal device or when using a different browser.

Alternatively, you can generally prevent the usage of cookies and web analysis cookies, as well as the usage of web analysis programs, by adjusting the settings of your browser to not accept cookies and by using the so-called "Do-Not-Track-Function". In this case, a Piwik deactivation cookie will not be set.

There are links to external offers and external websites on www.vbl.de. These are marked visually as a link and highlighted by a Mouse-Over-Function.
The VBL is not responsible for content on external websites and has no influence on their design and content. Therefore, the VBL dissociates from the content of these pages.

Advice regarding using E-mail

Please note that currently the confidentiality of information on the Internet is not guaranteed without further measures (e.g. encoding) when using E-mail. The content which is sent with an e-mail that is not encoded should be no more confidential than the content of a post card. Messages with valuable content should be sent by post to protect them and avoid a third party gaining access to their content.

If e-mail-addresses are transmitted to the VBL (e.g. for taking part in the Newsletter-Service „VBLnewsletter“), these will only be used for this purpose and not be given to third parties.

Rights of affected persons

You will get further information concerning your personal data stored and can verify wrong data on application (§§19 and 20, and 34 and 35 BDSG). Should legal requirements apply, you can ask for blocking or deletion of the stored data (§§ 20 and 35 BDSG).

As a public-law institution VBL is under federal supervision by the Federal Commissioner for Data Protection and Freedom of Information (BfDI). The BfDI assures that VBL complies with federal data protection law and other regulations regarding data protection.
